1. What Are AI Credits?

AI credits are a virtual currency used to pay for artificial intelligence services in PDF Index Generator. They represent computational resources consumed when using the AI indexing features.

How Credits Work

• Each PDF page indexed using AI consumes credits (cost varies by language and mode)
• Credits are deducted from your account balance only when you confirm an AI indexing operation
• Unused credits never expire and remain in your account indefinitely
• Credits are non-transferable and account-specific
• Credits cannot be exchanged for cash or refunded for cash value

2. Pricing and How Costs Are Calculated

Basic Pricing Rule

For books written in Latin-based languages (English, Spanish, French, German, Italian, etc.):

Word-Based Calculation

If your PDF pages contain more than 200 words per page, the cost switches to word-count calculation:

Non-Latin Languages

For books written in non-Latin scripts (Arabic, Chinese, Japanese, Korean, etc.), costs are doubled:

Why? AI engines require significantly more computational processing power and “tokens” to handle non-Latin scripts. To ensure the same high accuracy and prevent AI errors, these books require double the resources.

AI Mode Costs

• Automatic Mode: Standard pricing (base pages or words ÷ 200)
• Subjects Mode: Standard pricing (base pages or words ÷ 200)
• Categories Mode: Additional charges apply (1 credit per 10 words in your categories list + refinement costs)

3. Credit Confirmation Before Charging

We protect your account by requiring confirmation before any credits are deducted:

• Before generating an AI index, a confirmation dialog displays the exact number of credits required
• The dialog shows your current balance and remaining balance after the operation
• You can review and accept or cancel at this point with zero cost
• Credits are only deducted after you explicitly click “Confirm”
• If you cancel, no charges are applied to your account

4. Automatic Credit Refunds (Fair Usage Guarantee)

We guarantee fair treatment if anything goes wrong during indexing:

What Happens if AI Indexing Fails

• If your AI indexing process fails, disconnects, or has errors, you are only charged for pages that were successfully indexed
• Failed pages are automatically refunded to your credit balance
• You receive a detailed report showing exactly which pages succeeded and which failed
• You can retry the process without paying twice for the same pages

Example

If you start indexing a 500-page book and the AI process completes 60% before a connection error occurs:

• You’re charged for 300 pages (60%)
• The remaining 200 pages (40%) are automatically refunded
• You can retry the remaining 200 pages without additional charge

5. Free Credits and Bonuses

We provide free AI credits in several situations:

New Customers

• When you purchase PDF Index Generator for the first time, you receive 5,000 free AI credits
• This is enough to index approximately 5-10 average-sized books
• Credits are added to your account immediately upon purchase

Software Upgrades

• Every time you upgrade to a new version of PDF Index Generator, you receive 2,500 free AI credits
• This rewards loyalty and encourages you to stay current with new features

Annual Subscription Renewal

• If you have an annual subscription for PDF Index Generator, you automatically receive 1,000 free AI credits on every yearly renewal date
• These credits are added to your account on your subscription renewal date
• This rewards your continued loyalty and commitment to the software

Trial Users

• Trial version users receive 100 free AI credits to test the AI indexing feature
• This allows you to evaluate the system before making a purchase decision

Promotional Bonuses

• We periodically offer bonus credits with credit package purchases
• For example, the $15 package includes 500 bonus credits
• Larger packages offer proportionally greater bonuses

6. Purchasing Additional Credits

How to Purchase

• Visit our AI Credits Order Page
• Select the credit package that fits your needs (ranging from $5 to $100)
• Complete the secure payment process
• You’ll receive a redemption key via email immediately after purchase
• Redeem the key in your software (Tools → Settings → AI Settings → Redeem Key)

Payment Terms

• All payments are processed securely through established payment providers
• You are responsible for all applicable taxes and fees
• Payment is non-refundable once credits are added to your account (except where required by law)
• Pricing is in USD and may vary by location

Redemption of Credits

• Redemption keys are single-use and account-specific
• Keys are valid indefinitely and never expire
• Credits are added instantly upon successful redemption
• If redemption fails, check your key for accuracy and try again

7. Account and Credit Management

Checking Your Balance

• View your current credit balance in the software at Tools → Settings → AI Settings
• Your balance updates immediately after successful redemption or indexing operations

Account Restrictions

• Credits are tied to your personal PDF Index Generator license/account
• You cannot transfer credits to another person or account
• Credits are not tradeable, sellable, or convertible to cash
• Accounts that violate our Terms of Service may have credits forfeited

Inactive Accounts

• If your account remains inactive (no AI credits used) for 24 months, any bonus credits may expire
• Base credits you purchased never expire
• You can prevent expiration by using any AI indexing feature within the 24-month period

8. Service Reliability and Availability

AI Service Status

• We operate AI indexing services 24/7 and strive for 99% uptime
• Planned maintenance may occasionally cause service interruptions (we announce these in advance)
• Internet connection issues on your end may prevent access to AI services

If Services Become Unavailable

• If the AI service is unavailable due to our infrastructure issues, you will not be charged for failed attempts
• Credits are only deducted after successful indexing is confirmed
• If you’re charged due to service failure, contact support for a refund

Service Suspension

• We reserve the right to suspend AI credit services to accounts violating our policies
• Violations include: abuse of free trial credits, attempting to hack/exploit the system, or other malicious activity
• We will provide notice before suspension when possible

9. Limitations and Restrictions

What You Cannot Do

• Do not share your redemption keys or account credentials with others
• Do not attempt to resell, redistribute, or commercially exploit AI credits
• Do not use AI indexing for illegal purposes or to index illegal content
• Do not attempt to reverse-engineer or hack into the AI service
• Do not automate credit purchases or create bots to exploit pricing

Content Restrictions

• AI credits cannot be used to index content containing illegal material, explicit content, or hate speech
• We reserve the right to refuse indexing of content that violates our standards
• Any credits used to attempt indexing of restricted content will be forfeited (no refund)

Beta Status Reminder

• AI indexing is currently in Beta status and features may change
• Credit costs may increase or decrease as we optimize the system
• We will notify users of significant pricing changes with advance notice

10. Accuracy, Quality, and Guarantees

AI Accuracy

• AI indexing provides intelligent suggestions, not guaranteed-perfect results
• While we work hard to minimize errors, AI can occasionally miss terms or suggest incorrect ones
• You are responsible for reviewing AI-generated results before using them
• You should never publish an index without human review of the AI output

No Quality Guarantee

• We cannot guarantee that AI indexing will produce an acceptable quality index for your specific book
• Results depend on your book’s content, language, formatting, and PDF quality
• If AI results are unsatisfactory, we can refund your credits within 7 days of the operation

Quality Refund Policy

If you believe the AI indexing results are of unacceptably low quality:

• Contact us within 7 days of the operation with your order details
• Describe why the results are unsatisfactory
• We’ll review your case and may issue a partial or full credit refund
• Refunds are at our discretion and limited to one claim per book per 30-day period

11. Intellectual Property Rights

Your Content

• You retain full ownership of the PDFs you submit to the AI indexing service
• We do not claim ownership of your books or content
• Your PDFs are processed securely and deleted from our servers after indexing completes

Generated Index

• The index generated by AI is based on analysis of your content
• You own the final index and can modify it as you see fit
• We own the underlying AI technology and algorithms used to generate suggestions

Your Rights

• You may use generated indexes for commercial and personal purposes
• You may modify, publish, distribute, and sell content containing AI-generated indexes
• You may not claim that the index was manually created if it was AI-generated (without disclosure)

12. Privacy and Data Security

Data Processing

• Your PDFs are uploaded securely to our AI processing servers using encrypted connections
• Data is encrypted in transit and at rest on our servers
• PDFs are processed strictly to generate your index and nothing else
• PDFs are permanently deleted from our servers immediately after indexing completes
• We do not store your PDFs for any purpose other than processing your single indexing request
• Once processing finishes, the AI “forgets” your text entirely to ensure maximum privacy

AI Training and Content Protection

• Your content is NEVER used for AI training: We do not use your book’s content to train, fine-tune, or improve any AI models
• Your PDFs are not saved in any training datasets or learning models
• We do not learn from your content in any way that persists beyond your single indexing request
• Your intellectual property remains completely yours and is never repurposed

Privacy Protection

• We do not share your PDFs with third parties under any circumstances
• Your indexing requests and generated results are private to your account only
• We never sell, share, or disclose your book content to other companies or individuals

13. Limitation of Liability

Disclaimers

• The AI indexing service is provided “as-is” without warranties
• We do not guarantee results will meet your expectations
• We are not liable for incorrect page numbers, missed terms, or inaccurate suggestions
• You use the AI indexing service at your own risk

Our Liability Limits

• Our total liability for AI credit-related claims is limited to the amount you paid for the credits
• We are not liable for indirect, incidental, or consequential damages
• We are not liable for lost profits, lost business, or reputational harm
• Some jurisdictions do not allow these limitations; your local laws may apply additional protections

14. Changes to Terms and Pricing

Right to Modify

• We may update these Terms and Conditions at any time
• Significant changes will be announced on our website and via email
• Continued use of AI credits after changes means you accept the new terms

Pricing Changes

• We may adjust credit prices or cost calculations in the future
• Price changes apply to new purchases, not to credits you already own
• Credits you’ve already purchased are grandfathered at their original cost
• We will provide at least 30 days notice of any price increases

Feature Deprecation

• If we discontinue AI indexing services, we will provide at least 6 months notice
• Unused credits will be refunded if the service is discontinued

• Please include your order number and reason for the refund request
• We’ll review and respond within 5 business days

Escalation

• If you’re unsatisfied with our resolution, you may request escalation
• Escalated cases are reviewed by management
• We aim to resolve all disputes fairly and transparently
